We have received some paperwork for a new chap who has come from a local Montessori setting it has three rows of observations marked I/U and K ….anyone know what this means? ( I am assuming a version of emerging developing and secure but i've racked my brains and can't work out what they stand for!

New to Tapestry tracking and summative assesments query

Hi, Just a query as this is all new to me and the staff are asking lots of questions. A member of staff today did a PD ob and ticked one of the statements that she had observed. She is aware that her Key child has already acheived the other statements yet she doesn't have a formal observation to link to these. How do people approach this? I am sure everyone does it differently but it would be good to know so we can work out our best approach. Also would be interested to know how others set up their summative assessment's. Our settings ares set at using age bands, refinements and statements and to it doesn't look like we are showing progress. A little bit confused with this area so any advice appreciated. Thanks Gill -
Hi all, I was wondering if anyone uses their premises to host their Xmas party- Our guidance is 26 children on the premises at any one time- however, in the past, a party has been hosted at end of term and that can be around 32 children. Is this a complete no-no ? or is this a special one-off event and therefore not deemed a break in the rules? Not sure where to have put this query so hoping someone can help. many thanks Lisa

Hi, We are a small committee-run pre-school in a village with 2 staff members (myself - QTS and my deputy - L3). We take children from 2yrs+. Ratio-wise, we use me for the 3/4yr olds (13chn) and my deputy for the 2yr olds (4chn). My Chairperson seems to recall reading somewhere that a child can be counted in a 3-4yr ratio group in the term that they are turning 3. So the July birthday children would count as 3 yr olds from May half term (working on a 6 term year)....I have done extensive reading to try and find this referenced somewhere and have had no joy...Is it a 'thing' or has she just gone mad after reading and reviewing the thousands of policies that I've just updated? Any pointing in the right direction/links would be gratefully received. Many thanks, Rachel

My deputy supervisor who has worked in the setting for almost 20 years does not have GCSE equivalent English or Maths. She did an NVQ Level 3 in Child Development to enable her to progress to deputy about 10 years ago. Have I understood correctly that the new EYFS (2017) means that she can no longer be counted as a level 3 employee in ratios? Is there any way around this can anyone think? She will probably retire in the next 5-6 years and I know she would not wish to go back to school! Any thoughts? Thank you.

A dad introduced us to his father in law today explaining that the fil will be collecting his child as dad would be going to India for 3 possibly 4 weeks. The deputy has told me I have too ask him about his travel plans; when he is going, how long for, why he's going and contact details of people he would be seeing. None of his children will be travelling him. She insists these are questions we now have to ask in accordance with Prevent Duty guidance. I know a school in Birmingham has spoken about introducing similar questions on forms for term time holidays but I didn't think it was statutory and I don't remember seeing it in the guidance either.

We have a child whom I set up an account for at the same time as the rest of the cohort, however, he only appears on some iPad's, his name and therefore journal does not appear when we access Tapestry via the website and not on all our linked ipads either??? T

Sorry, wasn't sure the best place to put this, but I know you'll all help I am concerned that one of our parents is drinking and driving - with the child in the car too. I had suspected before but had not seen him drive away, but now I have. He reeks of alcohol (yes, at 12.15pm, although he is a night time taxi driver, so perhaps has a drink at the end of his shift in the morning?) So, my question: I feel I must say something about this, but who to? The local safeguarding team, or the police? I am concerned that they will tell the parents who has reported a concern and they will remove the child from the setting, just as we are about to implement additional measures as we (and his health visitor) suspect SEN...

Hi, I have been manager of our Pre-school for 25 years this year. We have gone from a parish hall run playgroup to a very busy pre-school who 8 years ago were lucky enough to be invited to operate in a purpose built fabulous area onsite at our local main feeder school. We are very busy, however the cuts in our funding by our LA have really hit us hard and for a while this year I was unsure whether we would survive, but fingers crossed we may be okay. Since I started many moons ago, we have had a committee. Over the last 10 years we have had the same chairperson and 4 committee members who for 8 of those years have been amazing and supportive and everything we would wish for. However, it has been evident over the last 2 years that their interest has waned, as their children have grown up and they have other interests, who can blame them? Meetings are only held if I badger them and I write minutes etc . We are struggling to recruit new members and especially a chair. I am quite concerned about our situation but also feel irritated by it as to why it should this be my responsibility to recruit a committee. Does anyone else have a problem with recruiting committee members and do you have any suggestions? Final query, is there an easier way to complete EY2 registration forms? One new committee member I pestered to join us has had great difficulty?

Hi All, It just occurred to me that if your nursery is registered for up to 8 year olds (for the purposes of holiday clubs etc) would you be allowed to offer school age children (aged up to 8) a place for the day on a strike day when schools are shut? Obviously with sufficient space/staff etc? Wasn't sure where to look to find out and then thought that one of you would know! Thank you! xx

Hi I wasn't sure where to post this , just a query; What is the ratios in a nursery class, 3 & 4 year olds in a school, I understand the QTS/teacher is 1 - 13 ratio, but there is also a level two TA and the class size can go up 26? is this right? Many thanks x

Hi Everyone We use alcohol free wipes to clean wounds on children if they have fallen in the garden and grazed themselves. A member of staff has just been on a first aid course and keeps telling staff not to use them, just use a tissue and water. I feel that a dirty wound needs to be cleaned properly, especially if they are staying all day. Does anyone else use them? or know that I shouldn't. Many Thanks

Ok - so here's the situation.... we have family attend for 6 hours each Monday and Tuesday, they claim just 10 hours with us and are charged for 2 hours each week. Because we were closed yesterday for hte Bank Holiday, mum has asked for yesterdays 6 hours funding to be applied to later weeks in the term..... Is this right? because it sounds really confusing to me!!!! Anybody explain in simple terms why this would be right? or not right? my mind is about to explode! Am I looking at this too deeply? Thank you in advance!

We have recently taken on Instant Nursery Manager and I am in the process of invoicing on it for next term, which is a 5 week term. I have to put in the funding hours claimed for a child for each day, rather then a blanket amount for the week, as I did when manually billing. I have a child who is at two settings and comes to our setting on a Monday 9-3 and a Thursday 9-12, so 9 hours per week. The child claims 3 hours with us each week. The next term has 2 bank holidays (on a Monday) and we are closed for a polling day on a Thursday, so I can either show the 3 hours funding claimed on a Monday or a Thursday. If I claim the hours on a Thursday, the invoice works out at £60 for the half term. Bit if I put the claim for 3 hours on the Monday, the invoice is £70. Which is right, or should I split the hours between the two days, so 1.5 hours each day, which works out at £65? Any Ideas?

News in brief Option to have your data processed outside of the EU New Feature: Informing relatives if an observation is a group one Android 9 and Tapestry New tutorials FSF Team News Hi Weavers, Welcome to this month’s Tapestry newsletter! Can you believe it’s the end of February already? We have spent the last month continuing to work on our new Android and iOS apps which are currently in beta testing, you can find out more information about this from here. We have also been able to add some new features and resources which will be covered below. This month we also celebrated the 16th birthday of the Foundation Stage Forum! For those of you who aren’t aware, the forum is an online community and support network for all those with a professional interest in the early years. You can also access tutorials for Tapestry from there and is where you will manage your invoices from. Precisely because of this, and in order to have a Tapestry account, all settings or organisations must have an FSF account. This FSF membership is already included within the Tapestry fee and is automatically set up when a setting takes up on a Tapestry account. You can read some of the birthday wishes we received and lovely things our members have to say about us here. Option to have your data processed outside of the EU One of the many ways we are GDPR compliant is that all Tapestry data is processed and stored inside of the EU. Our head office and almost all our staff are also based inside the EU. We do have a few members of staff who fancied sunnier lands so hopped on a plane and they are now living in Australia. By default, they are not able to see any customer data, but you do now have the option to allow them to access any messages you send us and access the data in your account if necessary to help with your query. This may mean you will get a faster response to any support requests you may send in, especially if you are in a time-zone that differs significantly to the UK. We wouldn’t necessarily recommend enabling it if you are based in the EU or have staff or relatives who are in the EU as it will increase the work you need to do in order to be GDPR compliant. To turn this option on, you just need to go to the Control Panel -> Data Protection and scroll down to the ‘Data Processing Outside the EU’ section. If you want to learn more about how we are GDPR compliant, you can take a look at our data protection area on our website. New Feature To help relatives using Tapestry, we have now added a note for group observations which will show relatives how many children are included in that observation. This does not mean that parents will be able to see the names of the other children that are included in the observation, just the number of them. As well as this, if you have it set so parents can comment on group observations, they will now also see a note informing them that any comments they add to group observation will be visible to other relatives who have children included in the observation. Android 9 and Tapestry Some users have reported that when they have upgraded their Android device to the most recent version of Android, which is 9 Pie, they have found that when they open up the Tapestry app again, they are receiving an error message. The error message will tell them the app was built for an older version of Android and may not work properly. Unfortunately, we can’t get rid of this message, but if you click on ‘OK’ you should find that you are still able to login and use the app anyway. If you do have any further problems, we are currently working on a new version of the Android app that will be fully compatible with Android 9 and will also have many exciting new features, such as an offline mode. If you are interested in being a beta tester for this new version, please get in touch with us by emailing customer.service@eyfs.info. New Tutorials We always aim to offer as many helpful resources as possible to help you get the best out of your Tapestry account. We have therefore added several new tutorials recently, such as ‘Enabling and Assessing the EYFS framework’ and ‘Enabling and Assessing the CoEL framework. You can also find new tutorials for the EYFS Comparison screens and adding/exporting accident forms from the Care Diary. Selective Mutism

I have a child who is selective mute in my class. She will not speak to adults in school but does talk to selected peers and freely at home. Her parents have posted videos to Tapestry to help us assess her reading and to hear her talking. She is a very able young lady and should achieve all ELG's and GLD. My query is this: Can we give her the Speaking ELG if she does not speak to us in school? Can parental evidence be used? Her understanding and attention are super. Thoughts??? -
Hi Saplingscic, Thank you for getting in touch with us! I am afraid I haven't understood your query entirely. All of the tracking screens in Tapestry feed from the Summative Assessment screen. This means that any data showing up in any of the analysis screens (and the reports section) is calculated based on the scores in each assessment period's summative value for each aspect and child. Could you please point us to the screen you are looking at? Is it the points of progress screen? We will be able to explain the screen and advise you further much better once we know what exactly are you looking at Best wishes, Olaya

This week I've been inputting my on entry data for reception class. I really find UTW tricky to assess because we obviously haven't covered many of the strands! I'm using some if the nursery assessments to help but not all children have been to a nursery. Any advice please? Thanks

I currently go to two nurseries who have their toddlers upstairs and there doesn't seem to be any issues at either of them! They both have no carrying children on the stairs policies and also risk assessment and clear guidelines for staff regarding using the stairs with children. It seems to work well for both of them and parents don't seem to query it at all, just accept that when the children are two, they move to the room upstairs. The children respond well to holding on as they walk up/down, the littlest ones holding the hand of a member of staff too with additional support offered from management when needed. What would you be gaining by moving your toddlers upstairs?

Hi all Has anyone else found that the LEA summary sheets for their school dont add up? My % are stated as we gave them however the average % for each area are not the averages???? And paint us in a worse light. Any thoughts please? Many thanks

Is the care diary available on the app?

Hi juliebowyer, Thank you for your query, I am sure many other settings have asked themselves the same question at some point! The Care Diary works slightly different for relatives in the sense that they can't add entries to their children's care diaries, they can only view what you have added. However, for relatives to be able to view these entries settings need to both enable the care diary for relatives and also ensure that the option staff must approve relative access to entries is enabled. This is because relatives will only be able to see entries once they have been given permission to do so! Let me explain this a bit in more detail. As I said, for relatives to be able to view the care diary entries that you made for their children you will have to grant them permission to view the entries every day once you have made at least one entry. You can check if this option has been enabled in your account from control panel > settings > care diary > staff must approve relative access to entries. Now, let's imagine that you have a child called Abby. Once you have made at least one entry for Abby, and if you are happy for their relatives to view all of the entries that you might make throughout the day, you'll have to give relatives access. For that, you'd have to go to the care diary section and click on Abby's panel's 'i' icon. This will then give you the option to allow relative access to that entry and all of the entries that you will make for that day: Furthermore, you'll also be able to send them a notification if you'd like to let them know that an entry has been made and that access has been granted to that day's diary: Please note that if you'd like to notify them every time a new entry is added you will have to click on the corresponding 'i' icon and click on 'notify relatives' again. You can also restrict their access for that day by clicking on the 'restrict relative access' button. As mentioned, access to the care diary will have to be granted on a daily basis, and for this to work, the child will have to have at least one entry. Once relatives have permission to view that day's entries, they will simply have to log in to their accounts and click on the care diary button! I hope this clarified the matter! Best wishes, Olaya -

Hi DLK1974! Thank you for your query, I am sure many other users wonder the same thing too! I am afraid that it is not possible to override values from the group view. We generally recommend reviewing your children's summative assessment scores on the group view, just because not only will help with spotting gaps, but also with identifying which figures you don't agree with in a much quicker way. Once you have determined which assessments are not correct, you can open a second tab on your computer and navigate to the individual summative assessment screen. By having the group view and the individual view open side by side, you can easily review the data on the group view, and amend it almost simultaneously from the individual view by filtering by the corresponding child. Hi All, Time for some help again! So I have a question that I don't know the answer to. I am a Scottish trained teaching abroad and we use EYFS in my school. Do you have to be a teacher to teach children in Reception? Conflicting stories this side of the world and since I have never acutally taught in England I can't say with any conviction what the right answer is. I know in Scotland our Local Authorities had different approaches depending on which one you were teaching in. One had a Peripatetic Teacher and CDOs, the other had a teacher in every room all day every day plus CDOs. Next question, I have to revaluate our entry assessments. Last year when I arrived it was a sort of tick sheet that didn't tell you much. Ofsted advise I use new EYFS to assess but given that the new entries come to me for no more than 30 minutes I am struggling to see what I can really ascertain about them in such a short period. Does anyone have anything in the way of entry asssessments that I could modify? Agh! My brain hurts!
